Position Summary
The Mailroom Receptionist provides front-desk coverage and mailroom support to ensure smooth office operations. This role serves as the first point of contact for visitors and callers, while also managing incoming and outgoing mail, packages, and deliveries. The Mailroom Receptionist supports overall office efficiency by coordinating reception duties, mail distribution, and administrative support tasks as needed.

Office work. Office work involves working at a desk most of the time, using a stand-up/sit-down adjustable desk. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects. Typing, grasping, and repetitive motion typically is required every day, and walking and standing are required occasionally.

The Mailroom Receptionist supports overall office efficiency by coordinating reception duties, mail distribution, and administrative support tasks as needed.
Primary Responsibilities
- Answer, screen, and direct incoming phone calls to the appropriate departments.
- Responsible for managing all incoming and outgoing mail, packages, and courier services.
- Maintain the mailroom, ensuring supplies are stocked and organized.
- Distribute mail and packages promptly to staff and departments.
- Schedule and coordinate pick-ups/deliveries with postal and courier services.
- Provide basic administrative support, including filing, scanning, and data entry.
- Support special projects and other administrative duties as assigned.
Position Specific Skills/Qualifications
Work Experience:
- 1–2 years of experience in a receptionist, mailroom, or administrative support role preferred.
- Customer service or front-desk experience a plus.
Essential Skills/Competency:
- Strong organizational and multitasking skills with keen attention to detail.
- Excellent interpersonal and communication skills, both written and verbal.
- Ability to build relationships with internal staff, vendors, and clients.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams).
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong judgment and problem-solving abilities.
- Professional demeanor with a focus on delivering exceptional service.
- Capable of managing sensitive and confidential information with discretion.
Education:
- High school diploma or equivalent required.
- Associate’s degree or relevant coursework in Business Administration or Office Management preferred.
