Position Summary
The Agency Billing Supervisor is responsible for overseeing the accuracy and efficiency of agency billing accounting operations within Novatae’s wholesale division. This role ensures the timely payment and accurate reconciliation of agency bill accounts, trust accounting activities, and financial transactions related to brokerage operations.
This position functions as a subject matter expert and senior resource within the accounting team. The role requires strong decision-making ability, deep knowledge of insurance accounting operations, and the ability to independently manage complex reconciliations and financial processes with minimal oversight.

Primary Responsibilities
Agency Bill Reconciliation
- Manage and oversee reconciliation of agency bill accounts to ensure accuracy of recorded financial transactions.
- Investigate discrepancies and partner with internal departments to resolve reconciliation issues..
Financial Reporting Support
- Assist accounting leadership with financial reporting, reconciliation summaries, and supporting documentation for accounting close processes.
- Ensure accurate recording of agency billing transactions in accounting systems.
Process Ownership
- Serve as the primary subject matter expert for agency billing accounting processes and procedures.
- Provide guidance to team members and operational staff regarding agency billing accounting practices.
Process Improvement
- Identify opportunities to improve operational efficiency, reduce reconciliation discrepancies, and strengthen accounting controls.
- Recommend and implement enhancements to agency billing workflows.
Compliance and Regulatory Adherence
- Ensure agency billing and trust accounting processes align with insurance regulatory requirements and company policies.
- Assist with internal and external audits by providing documentation and reconciliation support.
Operational Collaboration
- Partner with brokerage, accounting, and operations teams to ensure billing accuracy and proper financial recordkeeping.
- Work cross-functionally to resolve discrepancies and improve financial processes.
Trust Account Management
- Monitor trust account activity and ensure compliance with insurance accounting regulations and internal policies.
- Perform regular reconciliations to maintain the integrity of trust accounting records

- Accounting Expertise: A minimum of 5 years of required experience in accounting is essential, with 7 years preferred. In-depth knowledge of accounting principles, practices, and procedures is crucial for accurate financial management.
- Analytical Skills: Strong analytical abilities to reconcile financial data, identify trends, and resolve discrepancies effectively.
- Attention to Detail: Thoroughness in financial record-keeping and reporting to maintain accuracy and compliance.
